Virtual Test Drive Setup: Calendly & Zoom


We've connected Calendly and Zoom here at our dealerships so that customers can pick a time that is convenient for them to "Test Drive" a car through an online meeting. We're using this to help customers learn more about vehicles, receive walk-arounds of inventory, and explore finance and lease options. Right now both Calendly and Zoom have free options for their products to help business connect with customers. The tutorials below show how to set up both Calendly and Zoom as a manager and how to host a meeting as a sales/BDC associate.



Setup For Managers

In this video we'll start with creating a Calendly account for your dealership. Watch the video and then go to Calendly.com to create your account. Calendly is free for 14 days and then $8-$12 per month per user.
Once we have our Calendly account created, you'll need to create a Zoom account and link it to your Calendly account. Zoom is free to use but they do offer an upgrade. Go to Zoom.us to get started.
Once your sales/BDC associates have accepted the Calendly invitations you sent and set up their Zoom accounts, you'll then create a team with a shared calendar to put on your website so that customers can schedule a test drive with you.
I have a couple of updates in this video starting with navigating your Calendly account as a manager of multiple teams at dealerships, scheduling the round robin, and then some verbiage to add to the calendar to clarify a few issues customers had when joining.
So a couple dealers have reached out and let me know that they do not have internal speakers/microphones on their desktop computers. In order to conduct a video meeting AND be able to dial in using your phone, you can either upgrade to the paid version of Zoom or use GoToMeeting whicn is free or 14 days. In this tutorial I'll walk you through Calendly and GoToMeeting integration.

Setup for Sales/BDC Associates

In this video I'm going to walk you through how to setup our Calendly account from the link sent by your manager as well as how to setup your Zoom account and then link it to Calendly.
In this video I cover how to start a Zoom call that has been scheduled through the Calendly app on your dealership website. For desktop, you must at least have internal speakers and a microphone to use computer audio on the free version of Zoom. Paid versions allow you to use phone audio while on your desktop.
Now that we're connected with our customer and able to show our screen to go through our sales process, we'll also want to be able to do a walk-around of the vehicle. To do this, we can tether an iPhone to our computer.
Hosting your Zoom meeting from your device makes it very easy to do a vehicle walk-around with a customer. In this video I'll go through the steps to get your scheduled meeting up and running.

Using Loom to send video walk-arounds to your customers


Loom is a great tool that I use to easily send and imbed video's (like these tutorials) and send video walk-arounds of cars to customers.

Zoom for video conferences


Zoom has quickly become a popular way for our dealers to connect with customers. In these tutorials I'll cover how to launch and use Zoom meetings for your dealership.

Slack for internal communication


Slack is a great tool that we use at dealers to have internal communication without email. It also allows us to keep our sales team in constant communication with the sales desk eliminating all of the typical back-and-forth we have when working a deal with a customer and keeping our sales people with the customers.

He goes through his best practices on how he used the app before the crisis and what he's doing with it now. As you'll see this is a great tool to utilize even after this all pases.
